We are looking for an experienced and highly organised Office Manager to join a prestigious luxury house based in Paris.

This is a pivotal role within the business, responsible for ensuring the smooth, efficient and professional running of the Paris office. Working closely with senior leadership and supporting teams across the business, the Office Manager will combine office operations, administration, people coordination and event management with a strong understanding of the expectations and standards of the luxury industry.

The ideal candidate is polished, proactive and discreet, with excellent organisational skills and the ability to manage multiple priorities in a fast-paced, international environment.

Who You'll Work With

  • COO and Business Manager — your cross-functional reporting line. You'll work with both regularly and be trusted with confidential information from day one
  • CEO, CMO, and senior leadership in Paris — you'll support their day-to-day office needs and operate as a trusted, discreet partner
  • The entire Paris team — every person in the office is someone you'll quietly make life easier for
  • Clients, partners, journalists, VIPs — anyone walking through our doors. You are their first impression and you carry the AROS brand presence
  • Vendors and service providers — landlord, cleaners, caterers, IT, florists, couriers, grocery suppliers, travel — you own these relationships and hold them to our standard
  • Global counterparts — equivalent people in NYC, Shanghai, Milan, Dubai, São Paulo, when their teams visit Paris or vice versa

What You'll Own

The look, feel, and order of the office

  • Office is impeccable at all times — clean, polished, organized, on-brand. You walk the space multiple times a day and notice what others don't
  • Bathrooms always immaculate, fully stocked, fresh — this is a non-negotiable standard
  • Kitchen always stocked: coffee, tea, water, fresh fruit, snacks, anything the team or clients expect to find there. Never let it run empty
  • Meeting rooms always reset between meetings — clean, stocked, AV ready, water and refreshments in place
  • Flowers, plants, and seasonal touches kept fresh
  • Common areas — entry, lounge, showroom areas — always camera-ready

Sampling and sample closets

  • Maintain order in the sample closets and showroom: organized, labeled, accessible, restocked
  • Coordinate with the design and sales teams on what's needed, what's missing, what's leaving the office for client meetings
  • Make sure samples are always presentable — anything chipped, scuffed, or dusty does not stay in rotation

Supplies, groceries, and replenishment

  • Order groceries, office supplies, kitchen supplies, bathroom supplies, paper goods, printer supplies, and anything else the office needs — before anyone has to ask
  • Track usage patterns; build a reliable replenishment rhythm so we never run out
  • Manage delivery scheduling so the office isn't disrupted

Vendors and service providers

  • Manage the vendor relationships: cleaners, caterers, florists, couriers, building maintenance, equipment service, plant maintenance, window cleaning
  • Hold vendors to the AROS standard; swap suppliers when standards slip
  • Schedule and oversee work that needs to happen on-site

Hospitality and client/visitor experience

  • Welcome every visitor with warmth and polish — clients, partners, journalists, VIPs, candidates, team members from other offices
  • Coordinate the hospitality details for visits: refreshments, room readiness, transitions, send-offs
  • Set the bar for what walking into AROS Paris feels like

Team events, offsites, and culture moments

  • Plan and execute team events: birthdays, work anniversaries, welcome moments for new hires, send-offs, seasonal celebrations, team meals
  • Plan and produce offsites and retreats — venue research, logistics, travel, programming, dietary needs, every detail
  • Coordinate with the COO and Business Manager on what's coming and propose ideas proactively

Light executive and team support

  • Help with travel coordination, meeting setup, and ad hoc support for the COO, Business Manager, and senior leadership as needed
  • Make sure new hires have a great first day — desk ready, equipment in place, building access set up, welcome materials, lunch organized
  • Support visiting team members from other offices — accommodations, ground transport, office logistics

Facilities and IT coordination (light)

  • Local point of contact for facilities issues (maintenance, repairs, building services) and basic IT issues (printer problems, meeting room AV, hardware setup) — you coordinate the fix, you don't have to be the one fixing
  • Manage building access, security cards, and the relationships with the landlord and building staff

Mail, deliveries, and couriers

  • Handle incoming and outgoing mail, packages, samples, and courier logistics
  • Make sure nothing gets lost, delayed, or sent to the wrong person

Cross-office coordination

  • Be the Paris contact for visiting team members from NYC, Shanghai, Milan, Dubai, São Paulo — anticipating what they'll need before they arrive

Carrying the AROS brand presence

  • Bring good energy into the office every day. People notice
  • Dress, demeanor, communication, and standards all carry the AROS brand — this is part of the role, not separate from it
  • Be the warmth and the polish that the company is known for, from the inside out

You're a Fit If You Have

Required

  • 3+ years of office management, hospitality, executive assistance, or front-of-house experience at a luxury, premium consumer, design-led, hospitality, or top-tier professional services company (luxury brand, five-star hotel, private members club, top-tier law/finance/PE firm, design house)
  • Demonstrated ability to anticipate and handle without being asked — you'll be asked for specific examples in interview
  • Genuine warmth, polish, and brand presence — this is part of the job, not a bonus
  • Hands-on, action-oriented, on-your-feet style — you're happiest moving and doing, not behind a desk all day
  • Strong vendor management experience — you negotiate, hold standards, and swap when needed
  • Comfort with technology — Microsoft 365 or Google Workspace, expense and travel platforms, basic IT troubleshooting, modern AV
  • Working knowledge of French workplace logistics, statutory benefits, and standard French office administration (coordination, not specialist)
  • Exceptional attention to detail — dust, fingerprints, broken light bulbs, empty trays, scuffed samples, anything out of place are things you notice and fix
  • Discretion — you will be around senior conversations and confidential information
  • Fluent professional French and English — both required
  • Ability to work full‑time from our Paris office

Strongly preferred

  • Experience in luxury fashion houses, beauty brands, top hotels, design studios, or auction houses — environments where polish is non‑negotiable
  • Conversational Mandarin or Italian a plus given client geography
  • Experience supporting multinational teams across time zones
  • An eye for design — you don't need to be a designer, but you recognize what good looks like
  • Experience producing offsites or team events

You're Probably Not a Fit If

  • You see ordering groceries, restocking bathrooms, or organizing closets as below your level — this role does all of it, well, every day
  • You need to be told what to do — the standard is "anticipate and handle"
  • You're more comfortable behind a screen than on your feet
  • Your background is from startup or small corporate environments where polish wasn't a real standard
  • You're uncomfortable being a warm, present, on‑brand face for visitors and clients
